OPEN POSITION Date Posted: 2/12/2008 Updated: February 8, 2008 Position Title: Administrative and Research Assistant, UUA Holdeen India Program Staff Group: Advocacy & Witness Reports To: Director, UUA Holdeen India Program Location: Washington, DC (onsite) FLSA: Exempt Grade: 8, part-time (24 hours/week) Basic Purpose: To manage the UUA Holdeen India Program (UUHIP) office and to provide planning and administrative support to the UUHIP and the Director. The work of the UUHIP focuses on anti-oppression and justice work in India. Principal Responsibilities 1. With strict confidentiality, administers several hundred thousand dollars in grants to UUHIP partners in India. Initiates fund transfers of grant monies, emergency funds, and other special collections: * Consults with UUA Treasurer, UUA Financial Services, and bank officials in Boston and India to design, adapt, and maintain infrastructure for transfer of funds. * Works independently to resolve budgetary issues and recommends appropriate action to Director. * Serves as liaison between UUA Financial Services, financial institutions, and the UUHIP partners, assuring that all funds are disbursed efficiently and accurately. * Maintains accurate records of grants, program giving, and all other disbursements. * Monitors and prepares budgets, grants schedules, and statistical reports. * Monitors status of grants. 2. Monitors and tracks UUHIP expenses and maintains accurate financial reports, including expense reports, and prepares all necessary financial reports required by the Director, the UUA, and the UU Holdeen Advisory Board. 3. Manages the Restricted Fund, a separate bank account held by the UUA, established to receive unsolicited donations made to the UUHIP: * Maintains accurate records of 6-7 separate sub-funds within the account. * Corresponds and communicates with a variety of donors. * Receives and deposits checks received. * Creates individualized acknowledgement letters. * Creates account reports for the Director. 4. Manages the UUHIP information databases, including databases for partners, cooperating organizations, contacts, finance, and budget. Responds to request for information. Designs and produces routine and special reports. 5. Advises, counsels, drafts, and edits a variety of written materials, including reports, speeches, web site text, and correspondence. 6. Manages relationships with UUHIP partners: * Purchases materials for the work of the partners. * Corresponds with the partners. * Provides materials and information to the partners. * Provides other constituent services for the partners. 7. Manages preparation of scheduled bi-annual meetings of the Board of Directors: * Coordinates catering, travel, and accommodations * Prepares and distributes all statistical reports, Director’s Report, other materials, and agenda. * Attends meetings with Director, takes minutes of all proceedings, and ensures proper distribution. 8. Advises and works with UU congregations in the United States on a variety of issues: * Assists congregations with the development of materials for Alternative Gift Programs. * Provides information about specific partners and their work to congregations, ministers, and staff. * Works with congregation representatives to plan services where the Director is speaking, including the selection of readings, hymns, and prayers. 9. Plans and manages UUHIP events, and in addition to UUHIP Board Meetings and UU services, major events such as the 20th Anniversary program, GA workshops involving UUHIP partners and UU speakers. 10. Provides administrative support to the Director (who normally spends 2-3 months each year in India). Consults with UUA staff at all levels as needed to resolve issues and obtain information. Represents the UUHIP at meetings with cooperating organizations. As needed, coordinates activities and events that relate directly to the work of UUHIP and the mission of the Advocacy & Witness staff group. 11. Researches issues for the UUHIP. Identifies appropriate information resources, synthesizes pertinent information, and prepares written material describing conclusions. 12. Responds to requests for information about the UUHIP and ensures current, accurate content of all information. 13. Performs additional related duties as requested by the Director of the UUHIP, the Director of International Resources, the Director of Advocacy & Witness, the Executive Vice President or the President of the UUA. This is an exempt Grade 8 position (entry $21,326; midpoint $26,263). The successful applicant will be a highly-organized with excellent verbal, written and interpersonal communications skills. Candidates will be able to demonstrate initiative, self-management, strong organizational skills, and knowledge of Unitarian Universalism. The ability to interact with a variety of individuals and audiences at all levels, and managing sensitive, confidential information is a must. An interest in India and social justice is a definite plus. Our ideal candidate will also be highly proficient in MS Word, Excel, Access, and Outlook.
